TERMS & CONDITIONS

The following terms and conditions are related to the holidays provided by Ride Strong Ltd and are sold subject to these terms and conditions. All our respective rights and obligations are set out, so please read these carefully before making a booking with us.

1. BOOKING PROCESS
Before booking your Ride Strong Ltd cycling tour, please make sure you have read the tour description or liaise with Ride Strong Ltd to discuss your custom tour requirements. Once you are happy with your Ride Strong proposal we will require a deposit to secure your tour. We will send you a confirmation email and invoice for your deposit and will have entered into a contract with you. Ride Strong Ltd terms & condition’s will now apply.

1.1. DEPOSIT
To reserve a trip, we require a deposit of €700 per person (including a €200 non-refundable cancellation fee) for our scheduled tour dates and a €1,000 per person (including a €500 non-refundable cancellation fee) for our custom tours. Or equivalent in $ or £.
After receiving your deposit you will receive a Traveler Reservation form and Release of Liability form. These forms must be signed and returned to Ride Strong Ltd within 10 days of receipt in order to finalise your trip. Any participant who fails to return the completed and signed forms as required will not be permitted to join the trip and forfeit all trip funds paid to date.

2. FULL PAYMENT
We will send you an invoice for the balance of the holiday upon successful payment of the deposit, which must be paid no later than 3 months prior to departure. If you book less than 12 weeks before departure, full payment must be made at the time of booking and in this case the invoice will be sent with your confirmatory email. No further reminders will be sent. If the balance is not paid in time, we reserve the right to cancel your holiday in accordance with our cancellation policy and apply cancellation charges.

3. PRICES
Prices quoted on our website or a custom proposal may change at any time up to the point that a contract is made between you and us. Once this contract has been made, the price of the tour is fixed according to the invoice sent to you.

4. CANCELLATIONS

4.1. IF YOU MUST CANCEL
We hope you can ride with us but if you must cancel your cycling tour for any reason (even medical emergencies) your cancellation fee will be based on the cancellation schedule below:

31-60 days 50% of tour price
0-30 days 100% of tour price

Custom & TDF/Race Trips
Due to the upfront commitments we must make for these tours, our cancellation schedule is different. See below:
91+ days prior €500
61-90 days 25% of tour price
31-60 days 50% of tour price
0-30 days 100% of tour price

4.2. IF WE MUST CANCEL
Ride Strong Ltd reserves the right to cancel your tour for any reason. On the occasion that we cancel your tour, we will refund to you all payments received to date. Such refund will be Ride Strong Ltd entire liability to you with respect to a cancelled trip. We will not be responsible for any costs or expenses you incurred in relation to the tour including airline tickets, hotels, visa fees or other related expenses associated with the tour.

4.2.1 Our tour prices are based upon a minimum participation level. If our minimum enrolment is not met we are under no obligation to run the tour. We will inform you at least 45 days prior to the original departure date if your trip is being cancelled.

4.2.2 Force majeure – any event which we could not foresee or avoid, even with all due care, for example; war or threat of war, civil or political unrest, terrorism, natural or nuclear disaster, fire, industrial dispute and all other similar events that are outside of our control

5. CHANGES

5.1. IF YOU NEED TO MAKE CHANGES
Any changes you wish to make to your holiday after we have successfully received your deposit may be subject to an administration cost. We will endeavour to do all we can to assist, but we cannot guarantee we will be able to deliver all such requests.

5.2. IF WE NEED TO MAKE CHANGES
Where at all possible we endeavour not to make any changes to your holiday. Sometimes, however changes are unavoidable and we reserve the right, as is our absolute discretion to do so. If we need to make a major change to your holiday, such as change of arrival or departure times by more than 12 hours or a change of accommodation, you will be notified as soon as is practical to do so. If there is sufficient time before your departure you will have the following options:

5.2.2. Cancel your holiday and we will refund the full invoiced amount of the holiday. In the event that it is necessary to cancel your holiday, Ride Strong Ltd will not be responsible for any flight costs incurred by you.

6. TRIP INSURANCE
Due to the risk element of a cycling holidays, you must have adequate insurance to cover you for your holiday. It is a condition of your contract with us that you are fully insured for taking part in the activities of the holiday including and without limitation, medical expenses, personal accident, personal liability, emergency rescue, repatriation if you become too ill to travel, cancellation or curtailment of your holiday, travel delay, baggage equipment and loss or theft of personal effects and legal expenses.

7. TRAVELER CODE
By submitting your deposit and completing your Traveler Reservation Form, you agree to the following Traveler Code:

I am sufficiently fit and healthy to take part in my chosen holiday. If you have any medical condition that may affect your ability or enjoyment to complete your holiday, you must advise us before the departure date. By signing the Traveller Reservation form you confirm to us that your mental and physical condition are sufficient and fit for purpose of joining in and participating on the holiday you have booked.
I have a valid passport and all visas, permits, certificates, and vaccinations required for travel.
I will read pre-trip materials about clothing, medical requirements, and culture-specific etiquette.
I will respect the laws and customs of countries visited.
I will follow environmental guidelines and regulations while on the trip in accordance with guide direction.
I will respect the rights and privacy of other trip members.
I accept to wear a cycle helmet at all times whilst cycling.
I will not wear headphones when riding and I will drink alcohol responsibly.
I understand that travel within a group invariably involves compromise to accommodate diverse desires, travel goals, personalities, and physical abilities of all group members. Ride Strong guides may be required to improvise and exercise good faith, use discretion and/or make decisions based upon group consensus. These decisions may not always please each individual, but are intended to satisfy the larger desires of the group.
I understand a road less traveled means that access to medical facilities and evacuation services may be limited.
I understand the weather is out of Ride Strong control.
I will treat any hire equipment including a bike with respect.

8. COMPLAINTS
Any complaints arising should be made in the first instance to the tour leader who should normally take immediate and appropriate action. If however at the end of your holiday you feel that your complaint has not been dealt with properly or there was not a satisfactory outcome/response, you must notify us in writing within 14 days of the end of your holiday. In all cases we aim to try to agree a settlement with you.

9. MEDIA & PHOTOS
I understand that Ride Strong Ltd reserves the right to take photographic or film record of any of its trips, and I hereby agree that Ride Strong Limited may use such records which include images of me for promotional purposes.

10. BIKE HIRE
Where we arrange bike hire on your behalf your contract and any eventual liability will be with the bike hire provider and not Ride Strong Ltd. We reserve the right to pass on any incurred costs to you.
